CLUB
MANAGEMENT MEMO
3355 Cherry Ridge Dr. S-212, San
Antonio, Texas 78230
June 2000
You
have taken on providing a wonderful service as the adult leaders for your
clubs. Each month you will receive this
memo along with copies of flyers, applications, and other materials that your
members may want. Please share it with
4-H families in your club. If you need
copies of any materials, please give us a call and we will try to get them to
you in time for your meeting. I hope
that the information we have provided is helpful as you plan your meetings with
your club officers. Please call me if
you need anything.
In
This Issue....
We
have three new leaders of the Bexar County 4-H Adult Leader Association. Roy Baring is our new president, Debby
Rice is our Vice President and Jamie Miranda is our Secretary. Thank you all for being willing to serve!
San
Antonio Livestock Exposition has once again awarded ten $10,000 scholarships
to be given to Bexar County 4-H members.
These must be used at a Texas college or university for an Agriculture
or Life Sciences major. (A list
of majors that are considered related is available.) Scholarship applications are due to our office by June 30th. This is a great opportunity, so please
encourage seniors to apply!
4-H
Leaders and members get together once per year to set dates for our events
and training opportunities. It
is very helpful to have people who represent a variety of project areas and
different sections of our county. We
try hard to set dates far in advance so everyone can plan their busy schedules
around 4-H events. Please plan to attend this important
meeting if you can.
Staff from the Bexar County Extension Service will make themselves available by appointment on Friday. June 23 from 3-6 p.m. to review Record Books. This is a great chance to get feedback on books before they are entered in the county competition.
Many
4-H members choose to produce Record Books as a formal way to record their
4-H learning and accomplishments. These
books can then be entered in a contest.
Bexar County trades Record Books with two other counties to evaluate
the books and determine which will be selected for the next level of competition. Judging of other county books will take
place on July 7th at the Bexar County Extension Office. Judging of Bexar County books will take
place on another day in another county.
A
year pin application must be clipped to the inside front cover of the record
book or attached to the front of the project form. A copy of the application is enclosed for your information. Several applications were sent to your
record book project leader. If
they need more forms, please call Pam.
REMINDER: Application must be signed by the Club Manager. If a member is applying for a Bronze,
Silver or Gold Star Award, make sure they check it on the year pin application. In
the newsletter is a Star Awards form.
This will give us an idea of how many are applying for the awards. Anyone who will be applying for the Bronze,
Silver or Gold Stars should fill this out and return it to our office.
Scrapbooks
are due July 7th to our office.
A copy of the guidelines is enclosed.
All scrapbooks will be placed on a display table at the Bexar County
4-H Awards Program.
Your
club’s Rookie of the Year name is due to our office by July 7th. Please check the Awards & Recognition
Handbook for qualifications.
This
year our senior age 4-H enrollment figures resulted in our being granted five
Gold Star recipients for Bexar County.
4-H members who would like to be considered for this prestigious honor
should review the Awards & Recognition Handbook for the criteria they
must meet. We also ask that they
fill out an intent to apply form which is included in this month’s newsletter. Each applicant will be asked to supply
four copies of their Record Book and a completed Gold Star Award Biographical
Sketch Form. The Bexar County
Gold Star Record Book Review Score Sheet is enclosed with this packet. It was developed by a committee of 4-H Adult Leaders who met
to discuss our selection process. Qualified
applicants must be available on July 20th for an interview.
We
are fortunate that the judging for this District event occurs in our home
territory. If you are experienced
with Record Books, you are encouraged to sign up to help judge books at this
contest. It is the best way to
find out how the books are evaluated and to see ideas for creating award-winning
books. Call Karen Guz at 467-6575
if you would like to help.
We
will review 4-H club management skills and distribute important paperwork
and resources to Club Managers at each of these sessions. Please choose the one which is most convenient for you. You are welcome to bring lunch to the
July 31st meeting. To
help you stay organized, we will be providing a file box to new Club Manager’s. The Club Manager’s that already have
file boxes would please bring them, we will update it for you.
The
HOT Salsa Camp will be a three-day, intensive version of the HOT Salsa job-training
program. 4-H members will spend
a day concentrating on Horticulture, a day on Food Safety & Nutrition
and a day on Marketing and Small Business.
Activity sessions will be hands-on and interactive. This camp is open to all youth in Bexar
County and to 4-H members from other counties.
It will be filled on a first-come, first-served basis. There is a limit of 125 maximum. Ages 12-up.
A registration form and fee of $10.00 are required to reserve a spot.
Chaperones are needed 1:10 adult/youth ratio.
Adult chaperones attend for free. Check out the flyer enclosed.
Officers
from each 4-H Club are encouraged to attend an afternoon of training on August
4th. This will prepare
them to take on their duties as club leaders.
The training is organized and taught by Bexar County Council Officers.
Council Officers will meet at noon before the training begins to review
their activity and lesson plans.
The
County 4-H Awards Program will take place at the Helotes 4-H Activity Center.
4-H members and leaders will be recognized for their hard work during
the past year. Gold Star winners and scholarship winners are also announced
at this program.
The
District Mega Meeting is a good time to provide input on how 4-H projects
and contests are organized. It
is also a key meeting to attend for 4-H members who wish to expand their leadership
roles. 4-H members and leaders
are invited to attend planning meetings for projects. 4-H members have the opportunity to run for leadership positions
on various project committees. And,
each county is assigned leadership for a District 10 4-H event. 4-H members from Bexar County will meet
and volunteer for leadership roles for our county’s assigned leadership event. Fall Spectra Leadership interviews take
place at this meeting.
We
are expecting to hear soon about how 4-H members should apply to be leaders
at the Fall Spectra Program. The
Fall Spectra Program focuses on Career Exploration and takes place on a weekend
in October. Interviews for being
Fall Spectra Youth Leaders will take place at the District 10 Mega Meeting
on August 12th. Please
ask any 4-H members who are interested in this to call our office by July
7th. We will then directly mail them the application
information as soon as it arrives.

For those of you who have visited our new
web site, you know it is growing steadily as we add more and more
information. We have recently added
maps to common 4-H event sites under the “Events Page.” Please advise your 4-H families that this is
a good way for them to figure out how to get to the Helotes 4-H Activity
Center, the ENP Office, Boysville, the Ruble Center, and of course our new
office.
We
try to get out our newsletter quickly each month. However, if you have not gotten yours yet you can print one
from the web site. We put it
on the web site as text only (HTML) and as PDF which makes it print as it
looks when you get it in the mail.
Please
let members know options for getting more information on anything posted in the
newsletter, you now have many options for getting it.
1.
Club
Managers: We send
detailed information and flyers to Club Managers whenever possible.
2.

is the Honor Club application. If
you qualifying, your club name will put on a plaque that is kept in our office.
The application is due by July 7th to the County Extension
office.
Donors
are needed to sponsor the newsletter.
Our postage budget was cut this year and we are seeking sponsors to
help defray the cost of mailing the newsletter.
Sponsors are recognized in print in several places in the newsletter
and can place a full-page flyer as an insert.
The newsletter sponsor is also recognized in the newsletter portion
of the Bexar County 4-H Web Site.
Cost is approximately $75.
It
is a challenge to not exceed our copying allotment each month. We do not run out of paper, but out of
our copy budget on the Extension Service copy machine. The newsletter alone uses up nearly all of our allotment. Free printing of our newsletter, one
of our major print needs (Awards & Recognition Handbook, Officer Training
Materials, Club Manager Packets, etc) or even our tri-fold 4-H brochures would
be extremely helpful. We will
recognize the printer in our newsletter.
The printer can also take the value of the print work as a tax deduction
since Bexar County 4-H is a non-profit organization.
Please call Karen or Pam if you have some suggestions.
Please
review it and share information with your 4-H families.
Have
a nice summer. Please call me if you
have any questions about anything in the newsletter or this letter.
Sincerely,
Karen
